Introduction
The Millbrook Area Chamber of Commerce (MACC) is seeking proposals from qualified catering vendors to provide food and beverage services for the 2026 MACC Business of the Year Awards. This annual event honors outstanding businesses in our community and will host 120-200 attendees, including local leaders, business owners, and community stakeholders.
Scope of Work
The selected caterer will be responsible for:
• Providing a complete lunch menu, including options for vegetarian, vegan, and gluten-free dietary restrictions
• Setting up, serving, and breaking down all catering-related components
• Providing all necessary service ware (plates, utensils, napkins, glasses, etc.)
• Staffing for food service, including any needed servers or attendants
• Coordinating beverage service (unsweet/sweet tea and water)
• Ensuring compliance with health and safety regulations
Proposal Requirements
All proposals must include the following:
• Catering experience
• Sample lunch menu options (including vegetarian, vegan, and gluten-free)
• Detailed pricing, including per-person cost and any additional fees (delivery, staff, gratuity, etc.)
• Staffing plan for the event
• Equipment provided (e.g., tables, linens, chafing dishes)
• Proof of liability insurance and any necessary licenses
• References from at least two past events of similar scale
Selection Criteria
Proposals will be evaluated based on:
• Quality and creativity of proposed menu
• Experience and reputation in similar events
• Cost-effectiveness and clarity of pricing
• Agreement to charge only for the number who attended
• Ability to meet dietary and logistical needs
• References and past performance (please provide a list of up to 10 of your last catering jobs along with contact information for each).
